Responsibilities
JOB DESCRIPTION Job Title: Administrative Secretary Reports to: Director, Accounting and Taxes Department: Accounting and Finance Job Status: Non-Exempt
JOB SUMMARY This position will provide administrative functions for the Director, Accounting and Taxes. It will provide support and backup various functions throughout the accounting department.
ESSENTIAL FUNCTIONS • Receive and screen telephone calls to the Director, Accounting and Taxes. • Handle correspondence, filing, and typing needs for Director, Accounting and Taxes. • Provide courteous, helpful responses to requests and act in a confidential manner. • Handle Abandoned (Escheat) Property Procedures and Reporting on monthly and annual basis. • Provide support and backup assistance throughout the Accounting Department: cash receipts, returned checks, accounts payable, claims balancing, credit cards, and reporting. • Enter, run, and balance reports for the Expense Reporting System. • Perform Misc. Cash Functions. • Maintains supplies for the department. • Run and distribute Accounts Payable reports. • Distribute financial reports. • Distribute department mail. • Pay catering invoices. • Provide backup support to the Administrative Assistant. • Regular, predictable attendance. • This list of essential functions is non-exhaustive and may be supplemented as necessary.

Experience and Education:
OTHER RESPONSIBILITIES • Maintain a filing system. • Special projects as assigned.
JOB SPECIFICATIONS • Physical demands: Normal vision/hearing (with or without correction) Mobility Lifting Sitting. • Mental demands: Able to focus on multiple tasks Ability to analyze and handle new situations. • Environmental factors: Standard office lighting, temperature, and noise. • Equipment: Telephone PC Calculator Copier Fax machine.
QUALIFICATIONS • High school diploma plus 6 hours formal accounting education or equivalent experience plus secretarial skills. • Experience with standard Microsoft Office software desired (e.g. Excel, PowerPoint, Access and Word). • Good oral and written communication skills. • Mastery of basic math principles.
