Requisition Number: 006111539 Position Details: Key Job Responsibilities for this position may include but are not limited to: • Responsible for mgmt and administration of LBC supplies & equipment procurement and processing • Leads & coordinates general office administration activities including security badges, mail & other shipments, conference room and training functions & processes, and general office policies & procedures • Establishes relationship with landlord and all vendors that support facility • MDT Administrator - LBC Timekeeper and coordinator of payroll processes with HR • Provides confidential assistance to Manager, Louisville Business Center and to the Louisville Business Center leadership team • Provides backup support to North America Lubricants (NAL) Marketing Assistants co-located at the LBC • Receives electronic soft copy of contract from Manila Downstream Service Center (MDSC), prints out, and distributes to customer • Receives contracts back from customer, obtains NAL execution signature, files hard copy, and notifies MDSC of completed case • Manages renewal and termination processes with all key stakeholders • Maintains complete filing systems and controls for master documents • Runs monthly Access reports to identify expiring contracts and notifies field of same • Teams with legal department on contract updates and issues • Pursues process improvements and efficiencies while meeting NAL business demands • Works with sales force proactively on all contract inquiries or issues. • Handles inquiries concerning general contract questions; provides contract support • Collects, analyses, and distributes LBC phone metrics on a daily basis • Assists with manipulation of phone data for decision support • Publishes daily graphical stats for LBC awareness - service level, etc. • Manages North America Lubricants' company vehicle fleet following the policies and procedures as set forth by Corporate Procurement and NAL management • Analyzes and recommends annual capital budget for the replacement of company vehicles; works with employees and vendor at time of vehicle replacement; works with vendor to sell/dispose of company vehicles • Maintains database of company vehicles • Works directly with outside vendor for maintenance, title, registration needs • Maintains CORVET tracking system; compiles and submits monthly reports • Contact for all general inquiries pertaining to company vehicles • Other duties as assigned
Required Qualifications: • High School Diploma or equivalent • Minimum 3 years experience • Proficient MS Office (Word, Excel, Outlook, etc.) and Access
Preferred Qualifications: • Bachelor's degree in Business • Experience with contracts a plus • Self motivated • Ability to handle multiple tasks simultaneously • Excellent teamwork and communications skills Relocation Options: • Relocation assistance will not be considered for this position International Considerations: • Expatriate assignments will not be considered for this position
